Security Administrative Associate reports to the Director of Security Risk Management .

Responsibilities

– Provides technical support to UNRWA security workforce, through reviewing and compiling security reports, and contributing to discussions on UNRWA security procedures and policies. – Assists in development of departmental security information reporting systems; assists in the development of data visualizations to facilitate analysis of security incidents affecting UNRWA personnel and assets across its five fields of operations. – Assists in compliance review exercises of field offices; compiles and drafts compliance requirements based on approved SRM measures and UNRWA norms; Provides first draft analysis of compliance. Drafts annual organizational compliance reports. – Provides secretariat support to the Advisory Committee on Security Risk Management (ACSRM). Organizes and coordinates the logistical and practical preparations of the meetings; Develops draft meeting agendas; Determines meeting venue, organizes transport and accommodation for participants; organizes and follows up on the timely issuance of required visas for participants; prepares documents as required including photocopying and printing of large documents and organizes translation, recording etc.; drafts and circulates minutes of meetings. – Organizes meetings and meetings schedules and transport; keeps track of the validity of travel documents, visas and residency permits and ensures timely renewal; maintains and updates leave records; ensures that desk space, telephone, email, and internet access are provided to newly appointed employees; ensures availability, proper distribution and control of stationery, printer and paper supplies. – Proof-reads and formats audit, evaluation and security reports, other documents and spread sheets; prepares computer-aided diagrams, timelines, charts and presentations. – Provides support to DSRM as it relates to budget and financial issues; coordinates with the Finance Department to process expenditures for the Department of Security & Risk Management; establishes internal budget databases/monitoring for DSRM and tracks all expenditures and budget balance; provides a monthly status report on expenditures, balance and expenditure rates. – Develops and manages the DSRM SharePoint file/folder system; maintains and updates SharePoint and other relevant databases, drives, monitors storage of and access to confidential security files and manages the Director’s schedule. – Provides support to the DSRM staff members relating to travel and missions including completion of travel requests, Travel Subsistence Allowance (TSA) advances, and security clearances. – Assists in the preparation of yearly work plans for DSRM. – Performs other duties as may be assigned by the supervisor.

Special Notice

Type of Contract: Limited Duration Contract (LDC), Band E. The Limited Duration Contract applies to external candidates and UNRWA internal candidates on LDC. Duration of Contract: 6 months (Renewable upon availability of Funds), satisfactory performance and continuing need. Grade & Salary: LDC- Band E monthly basic salary ranges JOD 897.00.
